Executive Administrative Assistant Job Description

Position:  Executive Assistant
Status:  Non-Exempt Position
Hours:  Part-time, 5 - 15 hours per week (average 10), flexible schedule to start
Core Function:  Support the Executive Director in achieving the Mission and Vision of Tri-County United Way
Reports To:  Executive Director
Direct Reports:  None

Primary Responsibilities: Enhance Tri-County United Way’s effectiveness by supporting the Executive Director with all duties assigned. Manages our relationship with our vendor UPIC Solutions by submitting donor and financial information in a timely and accurate manner. Must have the ability to work well with staff, volunteers, donors, Community Stakeholders, and vendors. Sensitivity to confidential information is required.   
 
Specific duties, including but not limited to:

  • Maintain donor data base in CRM Lite by submitting all donor information to UPIC Solutions
  • Maintain financial information via QuickBooks by submitting all financial data to UPIC Solutions
  • Submit all bills to Bill.com in an efficient manner to ensure they are paid on time
  • Keep all accounts up to date and ensure they properly reflect the Tri-County United Way name
  • Pull data from CRM Lite and QuickBooks, preparing reports, presentations, and correspondence as directed by the Executive Director
  • Communicate with the Community via phone, mail, email, and our website as needed
  • Assist the Executive Director with donor campaigns as directed
  • Pick-up mail at the Marinette Post Office 1 - 2 times per week and process at Tri-County United Way office in Peshtigo
  • Deposit cash/checks at local bank weekly
  • Maintain and update website as necessary
  • Manage office, including, but not limited to, oversight of phone system, office keys, ordering supplies, cleaning, etc.
  • Participate positively in the major events of Tri-County United Way, including leadership and donor recognition events and similar gatherings.

Education/Experience

  • Associate degree or bachelor’s degree preferred, or minimum of five years’ experience in a similar position
  • Willingness to work varied hours including evenings and weekends as needed, however, will have flexibility to schedule most of their hours
  • Knowledge of the Tri-County communities
  • A passion for service to the Community

Computer Skills
Knowledge of basic computer hardware and software applications including email, social media, websites, internet, QuickBooks, and CRM. Must be proficient in Microsoft Office. Experience supporting or working for a 3rd party CRM and/or QuickBooks service provider is a plus.

None.

Salary:  $15 - $19 per hour based on experience – Approximately 10 hours per week to start
